Choose which activity emails reach each person

Choose an email audience for each internal team member, set a default for current and future recruiters, and keep individual category choices.

Give each inbox the right audience

Open Settings → Email Settings → Organization notifications. Organization owners and administrators can choose an activity email audience for each active internal team member: All organization, My work only, or Off. Recruiters can review their own settings and ask an owner or administrator to change them.

All organization includes supported activity across the organization within the recipient’s existing access permissions. My work only includes jobs assigned to the recipient, candidate work they explicitly own or source, and reminders assigned to them. A job-specific email must relate to that job; working with a candidate on one job does not subscribe someone to that candidate’s other jobs.

Keep the categories you need

Expand a person’s Email categories to choose Job updates, External recruiter activity, Recruiter activity, Candidate movement, New roles, Client activity, and Reminders. Categories narrow the selected audience. Reminders always belong to the person receiving them, even with All organization selected.

Choose Save changes when you are ready. Only the people and fields you edited are saved. Off pauses optional activity emails and keeps the person’s category choices for when an audience is selected again.

Choose an audience without losing earlier choices

Current defaults means no individual audience or recruiter default applies to that person. Their existing email behavior continues until an owner or administrator chooses an audience or an eligible recruiter inherits an organization default. Opening the page does not change anyone’s subscription.

The first audience choice enables supported categories while preserving any categories explicitly turned on or off before. Review the expanded categories before saving. After that, changing the audience keeps the person’s saved category choices.

Choose a default for current and future recruiters

Owners and administrators can use Default for recruiters to choose My work only, All organization, or Off for recruiters who do not have an individual audience. The same default applies when a new recruiter joins that organization. Owners, administrators, and external recruiters do not inherit the recruiter default, and another organization’s settings are not changed.

A row using this setting says Use organization default and shows the effective audience underneath. Missing category choices start enabled for an inherited audience; categories explicitly turned on or off remain as saved. A recruiter can read their effective audience and its source, while an owner or administrator makes changes.

Individual choices always take precedence, including Off. Choosing a specific audience pins that person’s choice even if it matches the current default. To return someone to inheritance, choose Use organization default on their row; their category switches stay saved. When no recruiter default is set, this option reads Current defaults.

Choose No organization default to restore the previous email behavior for recruiters without an individual audience. This does not remove individual choices. Review the affected rows and choose Save changes; the default and any individual edits are saved together.

Know what these settings cover

These settings apply to supported organization activity emails, including optional internal candidate alerts and pipeline updates. They do not change app permissions, in-app notifications, external recruiter access, or another organization’s subscriptions. Existing organization email enablement controls still apply. The recruiter default does not add recruiters to an owner-only digest.

Security emails, password resets, verification, organization invitations, and messages a person deliberately sends remain separate from optional activity emails. Changes apply to future sends; past activity is not resent, and a saved preference is not a guarantee of inbox delivery.
