Organization email notifications: keep the right people informed

Choose which RecruitIQ activity emails each team member receives while keeping every notification inside the right organization.

Notification controls now belong to the organization

Recruiting activity moves quickly, but every update does not belong in every inbox. RecruitIQ now gives organization owners one place to decide which team members should receive each supported activity email.

Preferences are saved inside the organization. A recipient can be enabled for their own company activity without being subscribed to events from another RecruitIQ organization.

Choose the updates each person receives

The notification controls separate common recruiting events into seven categories. Owners and administrators can turn each category on or off for every active internal team member with an email address.

  • Job updates, including supported changes to existing jobs when organization job-update emails are enabled.
  • External recruiter activity, including candidate submissions and sourcing activity from recruiting partners.
  • Recruiter activity, including candidates added or sourced by the internal recruiting team.
  • Candidate movement, including candidates added to roles or moved between pipeline stages.
  • New role activity, including newly created jobs and role assignments.
  • Client activity, including supported client-side events such as completed company contracts.
  • Reminders for due candidate and job follow-ups owned by the team member.

Know when a general resume arrives from the public job board

A candidate who uses the public job board’s general resume-upload form now triggers the same internal candidate-created email used by other supported candidate intake paths. The alert names the candidate and links directly to the RecruitIQ profile and uploaded resume, while the existing in-app notification remains available.

A general resume upload does not place the candidate into a specific job or pipeline. The organization owner remains the default email recipient under the current notification policy, and RecruitIQ records whether each alert was sent, skipped, or failed without discarding the candidate when email delivery is unavailable.

Set the policy once for the whole team

Updated October 20, 2026: Open Settings, choose Email Settings, and open the Organization notifications tab. Owners and administrators can now choose All organization, My work only, or Off for each active internal member and adjust email categories. Current defaults preserves a person’s existing behavior until an audience is selected. Follow-up and rejection email templates remain available on the other tabs.

See Choose which activity emails reach each person for the current audience controls. An owner’s explicit audience and category choices take precedence over defaults, including Off.

Organization boundaries travel with every email

The recipient list is resolved from the organization attached to the underlying recruiting event. The system then applies that organization's saved member preferences before sending the email.

That boundary matters for people who work across multiple teams or accounts: enabling a category in one organization does not subscribe the recipient to the same category somewhere else.

A quieter inbox with clearer ownership

The goal is not to send more email. It is to make supported recruiting updates dependable, relevant, and accountable.

When the right people receive the right categories, external recruiter submissions, candidate movement, new roles, client events, and reminders can reach an owner without becoming organization-wide noise.
